Haldi, mehendi, sangeet, wedding: organising photos of a multi-day wedding
By Bharat · 24 Oct 2026 · 4 min read
An Indian wedding is not one event. It is a tilak or roka, a haldi, a mehendi, a sangeet, the wedding with baraat, varmala and pheras, the vidaai and a reception, often across three days and two venues. A busy wedding gives you 6,000 to 10,000 photos from several cameras. How you organise them decides whether the family enjoys the gallery or gives up after the haldi.
The short answer
Use one gallery per wedding with one folder per function, named and ordered the way the family lived it. Upload function by function as the wedding goes on, keep one QR code and link for the whole wedding, and let guests use face search so they do not have to know which function they appeared in.
One gallery, not five links
Studios sometimes create a separate link for each function. It feels tidy, but families end up with five links in a WhatsApp group, each with its own passcode, and guests never find the sangeet photos. One wedding should have:
- One gallery link and one QR code for every function.
- One passcode for the full gallery, held by the immediate family.
- One place for album selection later.
Folders that follow the wedding
Inside the gallery, make one folder per function and order them by date. Use the names the family uses: a Marwari family's "Mayra" or a Punjabi family's "Jaago" should appear as that, not as "Event 3".
| Folder | Typical photos |
|---|---|
| Tilak / Roka | Rituals, family portraits |
| Haldi | Candid, colour, close family |
| Mehendi | Bride, detail shots, friends |
| Sangeet | Stage, performances, low light |
| Baraat | Groom's side, procession, dance |
| Wedding | Varmala, pheras, rituals, family groups |
| Vidaai | Emotional moments, close family |
| Reception | Stage photos with every guest |
Add one more folder that is not a function: "Highlights", with your 50 to 100 best photos from the whole wedding. It is the first thing the family shows people, and you can make it the one folder guests see without the full gallery passcode.
Upload function by function
Do not wait for the reception to start uploading. After each function:
- Copy the cards, and keep that copy as your backup.
- Do a quick cull of the obvious rejects: blinks, misfires, duplicates.
- Upload the selects to that function's folder.
Guests see the haldi photos while the sangeet is being set up, and they share them in the family groups with your studio's name on them. That is your best marketing of the whole wedding. The full day plan is in same-day photo delivery at weddings, and the upload options in camera to cloud at weddings.
Let face search do the sorting for guests
A guest who came only for the reception does not want to open eight folders. With face search, they take one selfie and see every photo they are in, across every function, in one place. Folders are for the family and the album designer; face search is for guests. See how to share wedding photos with all guests.
Several photographers, one gallery
At large weddings, three or four photographers shoot at once, and their camera clocks rarely match. Before the wedding, set every camera to the same time. Then the photos in each folder sort in the order things happened, instead of jumping between cameras.
Make album selection easier later
Good folders now save weeks later. When the couple sits down to choose 300 photos from 8,000, they can work function by function: pick the best 40 from the haldi, then the mehendi, and so on. With both families involved, folders also make it easier to split the work. More in album selection when both families want a say and why album selection takes months.
How this works in Vyavasth
One event per wedding with a folder for each function, in the order you set, plus a Highlights folder you can make visible to guests without the passcode; one QR and link for every function; face search across all folders as you upload; and album selection with Smart Selects in the same gallery. When the shortlist is ready, Locate Originals finds the original and RAW files on your laptop for the editor.
Frequently asked questions
Should each wedding function have a separate gallery?
Usually not. One gallery per wedding with a folder per function is easier for families and guests: one link, one QR code, one passcode, and one place for album selection.
How many photos does a typical Indian wedding produce?
A multi-day wedding with several photographers often produces 6,000 to 10,000 photos before culling. Organising them by function makes the gallery usable.
When should I upload photos during a multi-day wedding?
After each function. Upload a quick cull of that function's photos while the next one is being set up, so guests receive photos the same day.
How do guests find their photos across many functions?
With face search. A guest takes one selfie and sees every photo they are in across all functions, without opening each folder.
